Booth Book

Terms of use

Last updated October 31, 2026. These terms are between you and Booth Book (booth-book.com). Questions: info@booth-book.com.

What Booth Book does

Booth Book turns photos of an audio and video booth, and what you say about it, into a runbook, a gear manual and a checklist your crew can open on a phone. You can use it for your own room, or as an installer or integrator documenting rooms for your clients.

Check what it writes

  • Booth Book uses AI to read photos and write drafts. AI makes mistakes. It can misread a label, miss a piece of gear or write a wrong step.
  • You are responsible for reading every runbook, gear manual and checklist before you give it to anyone or rely on it, and for fixing anything that is wrong.
  • Documentation is a guide, not a replacement for the maker’s manuals, a qualified technician, or safety practice. Follow electrical, rigging and venue safety rules. Do not rely on a runbook alone to power, connect or repair equipment.

Your account

  • Keep your sign in details private. You are responsible for what happens under your account.
  • Give accurate information, and use Booth Book only for lawful purposes. Do not upload pictures or text you have no right to use, or try to break, overload or get around the limits of the service.
  • Anyone you give a share or crew link to can use it. Turn a link off or replace it from the room page if it goes to the wrong person.

Free rooms and paid rooms

  • A free room includes one photo read and a preview PDF with a mark on it. Free rooms are kept for 14 days.
  • A paid room is $39 once, with no subscription. It includes 20 photo reads and 3 free retries, clean PDFs, the gear manual and the crew checklist with a QR code. A re-scan is $5.99 and adds 20 photo reads to that room.
  • Photo reads and AI help are subject to daily limits that apply to everyone, so the service stays available for all users.

Installer plans

  • Installer plans are billed monthly or yearly through Stripe, by the number of client rooms. Prices are shown on the pricing page. Taxes may apply.
  • Every client room you build counts toward your plan for as long as it stays online, including finished rooms. When you reach your limit you can move to a bigger plan.
  • Plans renew automatically until you cancel. You can cancel at any time from your portal. A cancellation takes effect at the end of the period you have paid for, and we do not refund the unused part of a period already started.
  • We may change prices for new purchases and renewals. We will tell you before a change applies to your plan.

When a plan ends

  • Your rooms, gear manuals and client links are hosted for you only while your plan is active. When it ends, they go offline.
  • Your clients’ booth checklists keep working for 90 days after the plan ends, so a crew is not left without them at once. After that, the hosted rooms, manuals and links stop working.
  • PDFs you have already downloaded or sent are yours to keep. Download what you need while your plan is active.
  • Your account stays open. You can sign in and start a plan again at any time.

Payments and refunds

Payments are handled by Stripe, and we never see or store your card number. If something went wrong with a purchase, email us within 30 days and we will look at it and make it right where we can. Each request is reviewed on its own. We do not promise a refund for a room that has been used.

Your content

  • Your photos, notes and documentation stay yours. You give us permission to store and process them only to run Booth Book for you: reading photos, writing drafts, building PDFs, and showing rooms to the people you share them with.
  • As an installer, you confirm you have the right to document the rooms you build and to send them to your client.
  • Booth Book, its design and its software belong to us. You may not copy or resell them.
  • See our privacy page for how photos, audio and personal details are handled.

Emails sent for you

When you use Send to client, Booth Book emails the address you enter, in your company’s name, with your PDF and a checklist link. You are responsible for sending it only to people who should have it, and for having the right to share the documentation with them.

No guarantees, and limits on our responsibility

  • We work to keep Booth Book available and accurate, but we provide it as is. It can be down, slow or wrong, and we do not promise it will always work or be error free.
  • To the extent the law allows, we are not responsible for lost income, lost data, equipment damage, injury or problems at an event that come from using or relying on Booth Book or what it writes.
  • To the extent the law allows, our total responsibility to you for any claim is limited to what you paid us in the 12 months before it.
  • Nothing here limits rights you have by law that cannot be limited.

Stopping and changes

You can stop using Booth Book at any time and delete your account from the My rooms page. We may suspend a user who breaks these terms or puts the service or other people at risk. We may update these terms. The date at the top shows when they last changed, and if a change is important we will tell you by email or on the site.
